Club funding requests need to be made well in advance to the SGA Treasurer using the Online Funding Request Form. The Treasurer will the scrutinize the proposal along with the Finance Committee and get back to the person making request as soon as possible.

SGA Basic Budget Protocol, 2012-2013
Our goal for the year is to make each SGA dollar help our clubs and organizations to achieve their goals in the most efficient way possible. We would like to continue to utilize the Online Funding Proposal form. The Finance Committee and Treasurer welcome guidance and criticism from members of the SGA preferably during Treasurer office hours. This year all funding decisions will be displayed for the student body to see, however it is important to remember that there are many factors that play into each individual funding decision.
Funding Proposals Online:
The Student Government of Colby College is pleased to announce that club funding requests may be filled out online at http://www.colby.edu/campus_cs/clubs/sga/onlinefundingrequest.cfm. This new system is designed to replace our current paper system and we appreciate your assistance in making the switch. The online form is available under the “Student Resources” tab on the main menu of the SGA website.
1) Forms should be as detailed as possible in order to streamline the entire process
2) The Finance Committee reserves the right to deny any funding request
3) If you do not hear back regarding your request within 3 days please send Treasurer Jean-Jacques Ndayisenga an email at email@example.com
4) Reimbursements will not be given for unapproved spending
We will use the same general deadlines as used in years past; however, it is always preferable to make requests as soon as possible. This is because some requests require follow-up meetings as well as additional meetings with the Finance Committee. While these deadlines will be posted on the new SGA website, generally a two week period is necessary and helpful for funding requests.
How the process works:
Club leaders and treasurers submit the Funding Request form via the online request form or by filling out a hard copy in the Campus Life office (online preferred). The Treasurer will inform you that the request has been received, will ensure all pertinent information is included and then deliberate with the Finance Committee. Requests can be approved, denied, or modified. The Treasurer may also help to secure funds from alternative sources. We will then inform the club’s leadership of the decision as soon as possible.
