New Look to Colby Apps

In the coming weeks you will notice the look and feel of your Colby Apps will change.  Google has done research and listened to requests to make the interface look cleaner and hopefully easier to use.  Below are side-by-side comparisons of the old (classic) and new looks for E-mail, Calendar and Documents.

Would you like to preview these changes for yourself before the final switch over? Here are the steps for turning it on now:

Colby Apps E-mail:

  1. Log into http://email.colby.edu/
  2. Click on the gear icon  in the top right corner.
  3. Choose Mail Settings.
  4. Switch to the Themes tab.
  5. Select the “Preview (Dense)” theme.

Colby Apps Docs Home:

  1. Log into http://email.colby.edu/
  2. Click on the Documents tab.
  3. Select “Try the new look” link below the gear icon in the top right corner.

Colby Apps Docs – Document and Spreadsheet:

  1. Log into http://email.colby.edu/
  2. Click on the Documents tab.
  3. Open a Document or Spreadsheet.
  4. Under the Help menu choose “Try the new look”.

 


Colby Apps E-mail Inbox:

As you can see in the screenshots below, the change to the E-mail Inbox is mostly cosmetic. The buttons and menus have not moved.

Colby Apps E-mail Message Body:

As with the E-mail Inbox, the functionality of the Message itself has remained largely unchanged. Just the look and feel has been updated.

Colby Apps Calendar:

There are a few changes to the Colby Apps Calendar:

  • The “Quick Add” button has been moved to the drop-down menu next to “Create”
  • The “Add” and “Settings” buttons below the “My calendars” section have been moved to the drop-down menu next to “My calendars”
  • The icons for “Guests”, “Notifications”, etc are hidden until you move your mouse over the event.

Other than that, the changes are mostly cosmetic.

Colby Apps Calendar Event Details:

Google has left most of the functionality of the “Event Details” unchanged. They have just refreshed the look and feel.

Colby Apps Docs Home:

The largest functional change is in Docs section. It starts right on the Docs Home screen. You will notice that a lot of the text menu options have been changed into graphical icons. For instance, the “Upload” menu has been replaced by an icon representing a hard drive. This continues across the top of the screen with the “Share”, “Organize”, “Move to trash” and “Preview” icons.

Another major change is the removal of the “Details” pane on the right-hand side. You can still view this data, but you must check the document you want in your list and click the “Preview” icon. They have also removed the ability to see the “Details” on multiple documents, you can only “Preview” one at a time.

Colby Apps Docs – Document:

The functional changes continue in the “File” menu when viewing a Document. Some of the options that used to appear under the “Share” button (such as “Email as attachment…”) have been moved to the “File” menu. The order of the options in the “File” menu have also changed, but they are all still there (with the exception of the “Save Now” option, which Google has removed since they save automatically after each edit).

Colby Apps Docs – Spreadsheet:

Similar changes were made to the Spreadsheets “File” menu. The items that used to be listed under the “Share” button have been moved to the “File” menu, and the existing options have been rearranged.

Colby Apps Docs – Presentation:

As of October 4th Google has not changed the look, feel or layout of the Presentation portion of Docs.  When they do update Presentations I will update this post.
